KOPASThe Sharia Cooperative in One System

KOPAS is a digital cooperative information system for Sharia savings-and-financing cooperatives and the Sharia units of cooperatives. Membership, savings, financing with its akad, the member wallet and bill payments, the cooperative store, accounting, SHU and the annual meeting all run on one set of data, from the office, the store cashier and every member’s phone.

The challenge

Six things that hold a growing Sharia cooperative back

  1. 01

Records scattered across ledgers and spreadsheets

Each officer keeps their own book, so the numbers have to be pieced together before anyone can see the whole picture.

  2. 02

Reports and the annual meeting are always late

Financial statements, SHU and annual meeting material are compiled by hand, again, every year.

  3. 03

Sharia compliance is hard to prove

Whether each akad followed the fatwa depends on how careful the officer was, and the evidence is hard to show.

  4. 04

Members have to come in and ask

Checking a balance, an instalment or SHU means a trip to the office or a message to an officer.

  5. 05

    Control depends on individuals

When one person holds the books and the cash, there is no second check and no trail.

  6. 06

    Digital income flows elsewhere

Members pay bills, top up and shop through outside apps, so the fees and turnover leave the cooperative.

Each officer keeps their own book, so the numbers have to be pieced together before anyone can see the whole picture.

02 Reports and the annual meeting are always late

03 Sharia compliance is hard to prove

Whether each akad followed the fatwa depends on how careful the officer was, and the evidence is hard to show.

The problem isn’t how hard the board works. It’s tools that were never designed for a Sharia cooperative that keeps growing.

Meet KOPAS

One finished system, built for the Sharia cooperative

KOPAS is complete, tested and fully documented. Every transaction, whether at the counter, the store cashier or on a member’s phone, becomes a correct journal entry.

  • One set of data for members, savings, financing, the wallet, the store and accounting.
  • Akad and DSN-MUI fatwa rules are enforced by the system, not left to memory.
  • Sharia financial statements (PSAK), SHU and annual meeting material come straight from daily transactions.
  • Switch it on in stages: savings and financing first, then the wallet, bill payments and the store.
  • 3 Apps Management (web), Member (Android and iOS) and Store (cashier).
  • 16 Modules From membership to accounting, all connected.
  • 15 Roles With limits and maker-checker; the Sharia supervisory board and supervisors can read everything.

Profit-sharing ratios (nisbah), margins, financing ceilings and approval rules are settings the board controls, so KOPAS follows your cooperative’s own bylaws without any code changes.

Member app

The cooperative in every member’s pocket

Members see their savings, instalments and SHU, apply for financing, pay bills and shop at the cooperative store from their own phone. It is white-label: the app carries your cooperative’s name and colours, on Android and iOS.

Illustration with sample values

Home. Balance summary, payment reminders and shortcuts.

Digital member card. A QR code that changes every minute.

Savings. Every account, with available and held balances.

History and e-statement. Every movement, and a statement to download.

Financing simulation. Price, margin and instalment shown before applying.

Active financing. Akad details, remaining amount, schedule and paying instalments.

SiKopas wallet. Top up by virtual account or QRIS, transfer to other members, pay by QR.

Pay bills. Electricity, mobile credit, water and BPJS, with the cooperative’s fee shown openly.

Cooperative store. Member prices, a cart, and pickup or delivery.

SHU and annual meeting. SHU split into savings and transaction shares, plus the meeting invitation and results.

  • Sign in with a phone number, a one-time code by WhatsApp and a PIN, then fingerprint or face.
  • A notification for every transaction.
  • Published under your cooperative’s own name and colours, on Android and iOS.
  • Members sign financing akad in the app; the akad is also printed and signed.

Store app

A cooperative store that knows its members

The cashier recognises members, accepts every way they pay, and turns each sale into a journal entry and a stock movement.

Illustration with sample values
  • Recognises members

Scan the digital member card and the member price and savings appear straight away.

  • Every way to pay

Cash, QRIS, wallet balance, deferred payment (micro murabahah), or a mix.

  • Keeps selling offline

A limited offline mode, which syncs once the connection returns.

  • Shifts and cash

Open and close shifts, count cash, record differences and hand over deposits with an official record.

  • Voids and returns under control

They need the store head’s approval, and chained receipts can be verified.

Every sale becomes a journal entry and reduces stock. Members’ shopping counts towards their share of the SHU from transactions.

Running the store

Store home

Today’s sales, low stock, orders from members’ phones and what is owed to suppliers.

Stock by location

Minimum levels, batch and expiry per outlet, transfers between outlets and stock counts.

Compliance

Rules the system keeps, so people don’t have to remember them

KOPAS follows the regulations that govern Sharia cooperatives, and enforces the fatwa rules that matter most in daily work.

Regulations

  • Law 25/1992; Law 4/2023 (P2SK)

Services for members only, the annual meeting, SHU, and the roles of the board and supervisors.

  • Ministerial regulations 11/2017, 8/2023 and 9/2018

Sharia savings-and-financing cooperatives and their supervisory board: products and akad, governance, periodic reports and health assessment.

  • Ministerial regulation 6/2017 (AML and counter-terrorism financing)

Member due diligence (CDD/EDD) and flagging transactions for review.

  • PSAK 101, 102, 105, 106, 107, 109; SAK EP

Chart of accounts, automatic journals, Sharia financial statements and temporary syirkah funds.

  • Law 27/2022 (personal data); Government regulation 71/2019

Member consent, data subject rights, electronic system registration and incident notice within 3×24 hours.

Fatwa the system enforces

  • Fixed margin

    04/2000

The system rejects any change to the margin once the akad is signed.

  • Late fees to charity

    17/2000

Late fees (ta’zir) are journaled to the social fund, not to income.

  • Real-cost compensation

    43/2004

Compensation (ta’widh) only up to the collection cost actually incurred.

  • Real profit sharing

    15/2000

Nisbah applies to income actually received, not income promised.

  • Wadiah wallet

    116/2017

Balances free of riba and gharar; any bonus is never promised.

  • Digital financing

    117/2018

Financing in the app meets the pillars of akad; the akad is printed and signed.

The Sharia supervisory board can read every transaction, and every release passes a Sharia compliance test with a checklist and the board’s opinion.

Security and control

No large transaction rests on one person

The board decides who can do what and up to which amount. Above the limit, one officer creates and another approves, and everything is recorded.

How a transaction above the limit is handled
  1. Officer 1 Creates the transaction.
  2. Above the limit The system holds it for approval.
  3. Officer 2 Reviews and approves.
  4. Posted and recorded Who, when, and the value before and after.
  • Roles and limits set by the board

The role matrix, approval limits and maker-checker are set by the board; changing a permission needs a second approver.

  • Data belongs to the cooperative

Kept in Indonesia on a domestic cloud, encrypted, backed up daily and exportable any time.

  • Maker-checker

Above the limit, one officer creates and another approves.

  • A full audit trail

Who, when, and the value before and after, for every change.

  • Members in control

One-time codes, a transaction PIN, biometrics and a notification for every transaction.

  • Tested, against recognised standards

Tested with OWASP ZAP, Trivy and Semgrep plus load tests, with reference to ISO/IEC 27001:2022, OWASP ASVS and MASVS.

Architecture

How KOPAS fits around your cooperative

Five layers: the KOPAS apps, an integration layer, your cooperative’s own environment, licensed partners, and Indonesian infrastructure underneath.

KOPAS apps

  • Management app
  • Member app (Android and iOS)
  • Store app (web cashier, limited offline)
  • Board and supervisor dashboard

Integration layer

  • Documented API (OpenAPI) and webhooks
  • Single sign-on where available; otherwise local accounts with one-time codes
  • Export to Excel, PDF and cooperative-office report formats
  • WhatsApp, SMS, email and push notifications

Your cooperative’s environment

  • Employee or member data from the parent institution
  • Payroll treasurer: monthly deduction list and realisation
  • The cooperative’s bank account for disbursements and deposits
  • Cashier devices, receipt printers and barcode scanners

Licensed partners

  • Payment gateway: virtual accounts, QRIS, e-wallets
  • Bill payment aggregator
  • Partner Sharia bank: accounts and disbursement
  • WhatsApp Business: one-time codes and reminders

Infrastructure

  • Indonesian cloud; data stays in the country
  • Encrypted in transit and at rest
  • Daily backups
  • Monitoring, central logs and alerts
  • Tested disaster recovery
  • Data owned by the cooperative

The cooperative does not become a payment service provider. Bill payments and top-ups run through Bank Indonesia-licensed aggregators and payment gateways under a wakalah bil ujrah agreement, with the cooperative acting as agent.
